Campus Assistant

STATUS: Part-Time Non-Exempt

It is the mission of Brandywine Valley Active Aging to provide a welcoming place where people 50 and better can socialize and enhance their ability to live fulfilling and healthy lives.

It is the expectation of Brandywine Valley Active Aging that all staff will mirror the mission of the Brandywine Valley Active Aging in the performance of their work.

GENERAL JOB DESCRIPTION: Under the supervision of, and reporting to, the Assistant Executive Director, the Campus Assistant provides skilled administrative and clerical support to Campus staff and works collaboratively with the Campus Coordinator to ensure the successful completion of all Campus activities and services.

Qualifications:

  1. Possession of a high school diploma or its equivalent.
  2. Desire to work with older adults and the ability to put service of others before self.
  3. Excellent interpersonal, verbal, and written communication skills.
  4. Ability to work independently and as a member of team.
  5. Ability to prioritize work and to appropriately delegate to meet deadlines.
  6. Ability to maintain a high level of confidentiality, tact, and professionalism.
  7. Familiarity with computers and computer software including Microsoft Office.
  8. High level of accuracy, efficiency, and punctuality.

Attributes: Individual must exhibit enthusiasm, dependability, patience, initiative, and flexibility. Individual must be able to work as part of a team by working successfully with staff, volunteers, and participants. The individual must be open-minded and able to work with all elements of human diversity represented within the internal and external community.

Responsibilities:
The Campus Assistant must be detail-oriented, well-groomed, act professionally, and embody the characteristics necessary to drive the mission.

  1. Supports front desk operations by answering and directing phone calls, greeting guests, and conducting tours.
  2. Ensures the accurate collection and maintenance of all pertinent client information and supports the maintenance of HIIPA compliance for the Campus.
  3. Coordinates the daily lunch and transportation reservations; ensures the accurate and timely completion of reservations.
  4. Assists the Campus Coordinator in the coordination of all activities and programs daily, weekly, and monthly, including set-up and clean-up of rooms and gathering appropriate materials.
  5. Ensures complete and accurate data entry of all daily, weekly, and monthly activities, programs, and services and prepares monthly reports as required.
    1. Assists the Information and Assistance Coordinator by screening appointment requests for program eligibility and scheduling appointments as appropriate.
  6. Participates in the work of the Campus Advisory Council.
  7. Assists in the completion of the monthly newsletter and other mailings by folding, labeling, sorting, and preparing up to 2,000 pieces.
  8. Maintains daily statistics by entering, reviewing, and correcting data in the Copilot database.
  9. Assumes the responsibilities of the Campus Coordinator during any absence.
  10. If requested, temporarily assume the duties of absent staff.
  11. Other duties as may be required.

Certifications and Training:

  1. Maintain current adult CPR, First Aid, and AED certification.
  2. Maintain SAGE Care Certification.

Accountability: A performance evaluation will be conducted annually for this position by the Assistant Executive Director.

Acknowledgements

Typical Schedule: Schedule will vary based on demand and may include evenings and weekends for marketing and/or special events of the organization.

25-30 hours per week unless additional hours are approved by the Assistant Executive Director.

Compensation: Hourly. $13.00 to $15.00 per hour.

Benefits: Vacation, sick, and holiday pay in accordance with current personnel policies.

Daily Campus Operations

  3. Ensures the successful coordination of all activities and programs daily, weekly, and monthly, including when necessary, the set-up and clean-up of rooms and gathering of appropriate materials.
  4. Conducts timely surveys to determine interest, identify quality improvement, and monitor strategic and programmatic outcomes.
  5. Ensures that all pertinent client information is obtained and maintained and manages Brandywine Valley Active Aging’s HIIPA compliance.
  6. Ensures complete and accurate data entry of all daily, weekly, and monthly activities, programs, and services and prepares monthly reports as required.
  7. Provides direct oversight of and client support with the Virtual Campus including the management of the Technology Lending Program.
  8. Interviews, trains, schedules, and retains, volunteers, including program participants working through Title V funded programs ensuring adequate coverage at the Coatesville Campus.
  9. Fosters collaboration with the Downingtown Campus Coordinator and the Director of Nutrition Services.
  10. Coordinates and oversees the work of the Coatesville Campus Advisory Council and when necessary, supports the Downingtown Campus Advisory Council.
  11. Supports the production of the monthly newsletter including but not limited to creating, editing, copying, printing, assembly, and delivery: up to 2,000 pieces.
  12. Timely preparation of copy highlighting center programs for local media and distribute accordingly.
  13. Supports Campus staff by answering and directing incoming calls, greeting guests and visitors, conducting tours, responding to member inquiries, and scheduling appointments.
  14. Participates as a member of the Chester County Department of Aging Services Advisory Council.
  15. If requested, temporarily assumes the duties and responsibilities of absent staff.
  16. Other duties as may be required.

Certifications and Training:

  1. Maintain current adult CPR, First Aid, and AED certification.
  2. Maintain current Chester County Food Manager certification.
  3. Maintain SAGE Care certification.

Accountability: A performance evaluation will be conducted annually for this position by the Assistant Executive Director.

Typical Schedule: Schedule will vary based on demand and may include evenings and weekends for marketing and/or special events of the organization.

Unless requested otherwise, the typical schedule will be Monday through Friday, 8:30AM to 3:30PM (35-hours per week).

Compensation: $15.00 to $17.00 per hour

Benefits: Vacation, sick, and holiday pay in accordance with current personnel policies.

Chester County OIC Purchases 12-Passenger Van with help from Senator Andrew Dinniman

Chester County Opportunities Industrialization Center (CCOIC) recently purchased its first van to be used for transporting program participants to workshops, training, and job interviews. The 12-passenger Chevy van was purchased through a state grant sponsored by (now) retired PA State Senator Andrew Dinniman. In addition to offering transport to students, CCOIC is looking to hire one of its own program participants or graduates as driver.

As said by Dinniman, Job training leading to employment opportunities is the important function of Chester County OIC. I am glad that before retiring from the senate I was able to secure a grant for OIC to purchase a much-needed van to transport those, who they serve, to job training and employment.
